Weatherhold Privacy Policy

This Privacy Policy explains how Weatherhold Technologies LLC ("Weatherhold," "we," "us," or "our") collects, uses, and shares personal information. Weatherhold provides a software platform for roofing, siding, and storm-restoration contractors at weatherhold.com and in our mobile apps (the "Service").
This policy covers three groups of people:
- Website visitors — people who visit weatherhold.com.
- Account users — owners, office staff, sales reps, crews, and subcontractors who use the Service under a contractor's account.
- Homeowners and other end customers — people whose information a contractor stores in the Service.
1. Information We Collect
Website visitors
- Information you give us, such as your name, company, email address, phone number, and message when you request a demo, sign up for updates, or contact us.
- Device and usage information, such as IP address, browser type, pages viewed, referring site, and the date and time of your visit. We collect this through server logs and essential cookies needed to run the site.
Account users
- Account information, such as name, company name, business email, phone number, role, and login credentials.
- Billing information, such as billing contact and address. Payments are processed by Stripe. Weatherhold never stores full card or bank account numbers; we receive only limited details such as the card type, last four digits, and expiration date.
- Usage information, such as features used, actions taken, device and browser type, IP address, and approximate location derived from IP address, used for security and to improve the Service.
- Location information from your device, only if you allow it, for features such as finding nearby jobs or tagging photos with where they were taken.
- Support communications you send us.
Homeowners and other end customers (contractor data)
Contractors use the Service to manage their own customers and prospects. The information a contractor stores may include names, property addresses, phone numbers, email addresses, insurance claim numbers, carrier and adjuster information, deductibles, photos of the property, signed contracts, payment records, notes, and message history.
2. How Contractor Data Works
When a contractor stores information about its customers in the Service, the contractor controls that information and decides how it is used. Weatherhold acts as a service provider (sometimes called a "processor") to the contractor and handles that information only on the contractor's instructions to provide the Service. We do not use it for our own marketing, and we do not sell it.
If you are a homeowner and want to see, correct, or delete information a contractor holds about you, or want to stop receiving messages from a contractor, please contact that contractor directly. If you are not sure which contractor has your information, or the contractor does not respond, you may email us at [email protected] with the subject line "Privacy." We will forward your request to the contractor and help them respond.
The rest of this policy describes how Weatherhold handles information for its own purposes and, where noted, how we safeguard contractor data.
3. How We Use Information
We use personal information to:
- provide, operate, and maintain the Service;
- create and manage accounts and authenticate users;
- process subscription payments and send receipts and billing notices;
- send service messages, such as security alerts, product updates, and notices about these policies;
- respond to questions and provide support;
- protect the Service, prevent fraud and abuse, and enforce our terms;
- understand how the Service is used so we can fix problems and improve it, using aggregated or de-identified information where possible;
- send marketing emails about Weatherhold to website visitors and account users who have not opted out (every marketing email includes an unsubscribe link); and
- comply with legal obligations.
We do not use homeowner or end-customer information in contractor accounts for any of our own marketing.
4. How We Share Information
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
We share personal information only in these situations:
- Service providers. With the companies that help us run the Service, listed in Section 5, under contracts that limit their use of the information to providing services to us.
- Within a contractor's account. Information in a contractor's account is visible to that contractor's authorized users based on their role. When the contractor chooses, some information is shared with its own customers (for example, through the customer portal, signing links, or payment links) or with its crews and subcontractors through work orders.
- At the contractor's direction. When a contractor uses a feature to send information to someone else, such as emailing a proposal or sending a text message.
- Legal reasons. When we believe in good faith that disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of Weatherhold, our customers, or others.
- Business transfers. If Weatherhold is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We do not share mobile phone numbers with third parties for marketing. See Section 9 for our text messaging commitments.
5. Our Service Providers
We use the following service providers to operate the Service:

Contractors can request the current list of named providers at [email protected]. We may update this list as our Service changes. We will update this policy before adding a provider that handles contractor customer data.
6. Data Retention
- Website inquiries: kept for as long as needed to respond and follow up, and then deleted or de-identified, generally within 2 years of last contact.
- Account information: kept while the account is active and as needed afterward for billing, tax, legal, and security records.
- Contractor data: kept for as long as the contractor's subscription is active. After a contractor's subscription ends, the contractor has 60 days to export its data. We then delete it from active systems within 30 days, unless the law requires us to keep it. Backup copies are overwritten in the normal backup cycle.
- Logs: security and system logs are kept for a limited period, generally no longer than 12 months, unless needed to investigate an incident.
7. Security
We use reasonable safeguards designed to protect personal information, including:
- encryption of data in transit;
- role-based access controls, so users see only what their role allows;
- private storage for photos and files, which are not publicly accessible without an authorized, expiring link;
- limited access by our own personnel, only as needed to run and support the Service; and
- regular backups.
No system is perfectly secure. If we confirm a security breach affecting a contractor's data, we will notify that contractor without undue delay, and within 72 hours of confirmation where practical, and we will provide notices required by law.
8. Your Choices and Rights
- Account users can review and update account information in the Service at any time, or contact us for help.
- Marketing emails: you can unsubscribe using the link in any marketing email. We will still send service and account messages.
- Cookies: you can set your browser to block or delete cookies, though parts of the site or Service may not work without essential cookies.
State privacy rights
Depending on the state where you live, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to opt out of certain uses. To make a request about information Weatherhold holds for its own purposes, email [email protected] with the subject line "Privacy" and tell us your name, your state, and what you are asking for. We will verify your request, which may include confirming information we already have about you, and respond within the time required by law. You may use an authorized agent where the law allows. We will not discriminate against you for exercising your rights. If we deny your request, you may appeal by replying to our decision, and we will explain the outcome of your appeal in writing.

9. Text Messaging (SMS)
Messages sent by contractors. Contractors may send text messages to their own customers through the contractor's registered texting line. The contractor is the sender of those messages and is responsible for obtaining consent. To stop messages from a contractor, reply STOP to that contractor's number. For help, reply HELP or contact the contractor directly.
Messages sent by Weatherhold. Weatherhold may send text messages to account users who opt in, such as login verification codes, account alerts, and service notifications. Message frequency varies. Message and data rates may apply. Reply STOP at any time to cancel; you will receive one message confirming that you have opted out. Reply HELP for help, or contact [email protected]. Carriers are not liable for delayed or undelivered messages.
Our commitments:
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
Mobile information may be shared with our messaging service providers only as needed to deliver messages.
10. Children's Privacy
The Service is for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us at [email protected] and we will delete it.
11. United States Only
The Service is offered only to businesses in the United States, and information is stored and processed in the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on weatherhold.com and change the "Last updated" date above. If we make material changes, we will notify account users by email before the changes take effect.
